Transcription Overview

For pilots who need their handwritten or paper flight data converted into a digital (.csv) file for direct import into most digital logbook programs, AcuLog provides a seamless solution that goes far beyond basic transcription. Whether you’re starting with traditional logbooks, trip sheets, flight manifests, company flight records, military records, or even an existing Excel file, our team can turn your flight history into a clean, organized, and import-ready format.

We format for nearly every major e-logbook platform, including LogTen Pro, ForeFlight, ZuluLog, MyFlightbook, Safelog, Logbook Pro, Garmin Pilot, CrewLounge PILOTLOG, and more. Our expertise ensures that your data is properly formatted to the best of our ability for the system you use.

Our files will also provide you with a visual tail number list, separate from the flights, so you can ensure each tail number and corresponding make/model/attributes are accurate for import. This extra step not only saves you time when setting up aircraft details but also guarantees accurate reporting by type—an essential detail when preparing for airline applications or interviews.

Once we’ve transcribed your records, you’ll receive a draft Excel file for review. Because some handwriting or scans may be difficult to interpret, we ask all customers to double-check the data and make any necessary corrections before we finalize it into .csv format. If you’d like additional support, we can schedule a Zoom session with one of our team members to walk through your file together, clarify discrepancies, edit illegible data,  and resolve any lingering issues.

For added convenience, AcuLog has several ways to import your records, which can vary per program. Submit a quote request to see which programs we can perform the final import on your behalf. This optional service eliminates the last bit of hassle and ensures that your logbook is up and running without delay.

At the end of the process, you don’t just receive a digital file—you gain the peace of mind of knowing your flight history has been preserved, polished, and prepared by a team that understands both the technical requirements of e-logbook platforms and the rules of aviation.

Premium Transcription

Our Premium Transcription Service goes beyond simple data entry. We not only transcribe and convert your logbooks or flight records into an import template tailored to your chosen e-logbook program, but we also include a detailed, line-by-line audit. We add our notes/findings directly in our draft file so you can easily identify the errors or discrepancies found by our team.

During this process, our team carefully checks every entry for accuracy, identifies math errors, and flags potential logging discrepancies based on FAA rules and regulations. The audit provides an additional layer of assurance, giving you confidence that your final digital logbook is both accurate and compliant. Also, with our Premium projects, if a customer has a particular request to create custom fields for special time tracking, our team can work with the customer to determine the scope of their request. On some occasions, additional fees may apply if requests are complex, but most can be done as part of the standard fee.

This service is particularly valuable for pilots preparing for airline or corporate interviews, where precision and attention to detail matter most.

Basic Transcription

Our Basic Transcription Service is a cost-effective option designed for pilots who simply want their logbooks or flight records converted as is into an import template tailored for their selected e-logbook program.

While this service does not include our comprehensive audit or any custom assistance, our team will still do a quality control review to ensure your data flows smoothly into your digital logbook.

Because it focuses on speed and efficiency, Basic Transcription projects are typically completed faster and cost approximately 30% less than Premium Transcription. It’s an excellent option if your goal is to quickly digitize your records without the added detail of a full audit.

⚠️ NOTE: Not all projects performed by AcuLog come with an audit service or custom assistance to accommodate special requests. AcuLog will transcribe all data required for import, except for remarks, endorsements/certificates, and approach types (we do capture quantity of approaches). Endorsements/Certificates are NOT importable by themselves. If you want to add them, some programs have a separate section where they can be added manually. AcuLog offers Professional Services for some programs, so if requested, we can add them for a separate fee.

Some custom fields in paper logbooks, like Complex, High Performance, Tailwheel, Turbine, Jet, etc., will be converted to a TRUE/FALSE field in AcuLog's file instead of flight hours, as many digital logbook programs have built-in aircraft profiles that already provide this detailed data in their system, or we are "checking boxes" with TRUE/FALSE statements for import. Once your records are imported into your program, you will be able to run detailed flight time experience reports, including Time-in-Type, Time by Cat/Class, Time by Gear, Time broken down by Turbine, Airline Application Reports, and more.

AcuLog does NOT input Page Totals, Previous Totals, and Totals to Date rows/data into our import templates. We do calculate the time on our end to verify the accuracy however, during an audit.

DISCLAIMER: Upon engagement of a service that includes auditing, AcuLog conducts a thorough review to help identify and notify the customer of any potential discrepancies or errors. However, AcuLog does not and cannot provide an official guarantee that the audited file will be 100% free of errors or omissions. The customer (Pilot) retains full responsibility for reviewing their personal flight records, along with AcuLog’s findings, and independently determining whether to make any adjustments to flight data. Any modifications made are at the sole discretion of the pilot and should be in accordance with any applicable Federal Aviation Regulations (FAR) and Aeronautical Information Manual (AIM) standards.
